The Configuration > User & Personnel Settings section holds the settings that shape how users and personnel are onboarded and how they are organised once they exist. Users are the people who log in to EvTrack; personnel are the staff records the system tracks whether or not they have a login.
The groups below are the same ones the product uses, in the same order, so this page reads like the sidebar you see once you are inside the section.
Before you start: you need settings administration rights. Pages you cannot use are hidden rather than greyed out, so if something described below is missing, your account does not hold the permission for it.
Onboarding and Registration
How a new user gets into the system, and what they are asked for on the way in.
- Self-Registration - Enable or disable the public self-registration form and share its link and QR code.
- Registration Fields - Choose which fields appear on the self-registration form and which are mandatory.
- Registration Page - Edit the instruction text shown on the public self-registration form.
- Onboarding Email Template - Edit the email a new user receives inviting them to set their password and log in.
Organisational Structure
The groupings a user or a person can be assigned to. They drive reporting, badge and email content and billing attribution, so it is worth setting them up before you import people in bulk. None of them grants access on its own - access comes from the access control lists on the record.
- Organisations - Maintain the organisations users and personnel belong to.
- Departments - Maintain the departments people and assets are assigned to.
- Groups - Maintain the team names that appear on reports and print on badges.
- Cost Centers - Manage the cost centers used to attribute users and registrations for billing and reporting.
Access and Permissions
What a user account is allowed to do once it logs in.
- Roles - Define the permission sets user accounts are given, and choose the role new accounts get by default.
