Who are you?
If you would rather be walked through your own job in the order you do it, start with the page for your role:
- For Hosts - you receive visitors: invite them, share a registration link, approve arrivals and see who is coming today
- For Reception - you work the counter: capture walk-ins, check visitors in and out, issue cards and badges, help at the kiosk
- For Managers - you decide who gets in: approve and decline requests, review the logbook and reports, and set the rules everyone else works to
First steps
- Set up a kiosk or guard device - pair an EvTrack FrontDesk kiosk or the Guard app and grant access through the default access control list
- Set the basics - timezone and region, email server, required visitor fields
Working with visitors
- Add a walk-in visitor or use Quick Register and Check-in at the dashboard
- Invite a visitor ahead of the visit - generates the pass and emails it automatically
- Share the self-registration link or QR code - visitors register themselves, including whole groups or built by an operator
- Check visitors in and out and understand the visit lifecycle
- Issue and share visit passes - QR passes, badges and the printable permit

Quick answers
- A visitor already exists? Matching runs on ID first, then name and date of birth; a matching email or mobile flags the duplicate - update the existing record instead of creating a twin (details).
- Emails not arriving? Verify the sender address and test-send under the email server settings, then check the recipient host’s address on their user profile.
- A pass is denied at the reader? Check the credential’s validity window and status (lifecycle reference) and that its ACL covers the reader (access control lists).
- Where do I see who is on site? The Visitors Dashboard shows today’s visits live; the Logbook holds the full history.
