The Visitor Settings section, under Configuration > Visitor Settings, is the control centre for the entire visitor journey: which details are captured at registration, how passes and access credentials are issued, what emails and messages visitors and hosts receive, and which approval and compliance policies a visit must clear. Every page applies system-wide.
The five groups below are the same five the product uses, in the same order, so this page reads like the sidebar you see once you are inside the section.
Before you start: you need settings administration rights. Pages you cannot use are hidden rather than greyed out, so if something described below is missing, your account does not hold the permission for it.
Visit Lifecycle
How a visit behaves from the moment it is created until the visitor leaves.
- Visit Pass - Configure the visit pass issued to visitors, including validity and credential options.
- Status-Based ACL - Grant additional access control lists based on the visitor’s current visit status.
- Host Approval - Require host approval before self-service or walk-in check-in completes.
- Check-out - Control auto check-out, credential deactivation on check-out, and re-check-in behaviour.
- Visit Pass Permit - Set up the printable permit document that accompanies a visit pass.
Visitor Data
What the system asks a visitor for, and what they must agree to.
- Required Fields - Choose which visitor fields are shown and which are mandatory on each registration channel.
- Visit Reasons - Maintain the list of visit reasons operators and visitors select from.
- Agreements - Manage the agreements visitors must accept before or during check-in.
Registration and Apps
The channels a visitor or an operator can register through, each with its own settings page.
- Self-Registration - Configure the public self-registration flow visitors use to register themselves.
- Kiosk - Configure the self-service kiosk check-in experience.
- Mobile App - Configure the host-facing mobile app features.
- Web Service API - Control validation and required fields for registrations submitted through the public Web Service API.
- Guard App - Configure the guard app used for walk-in registration and verification at the checkpoint.
Notifications and Messaging
Everything the system sends out about a visit, and to whom.
- Host Notifications - Choose when and over which channels hosts are notified of visitor movement.
- Visitor Emails - Edit the email templates sent to visitors throughout the visit lifecycle.
- Instant Messaging - Edit the SMS and instant message templates and their delivery schedule.
Two longer guides sit alongside these pages: Invitation Email Guide walks through composing the invitation a visitor receives, and SMS Configuration Guide covers connecting and testing an SMS gateway. The full list of placeholders you can use in either is in Merge Tags.
Compliance
Review and cancellation policy.
- Compliance - Add a compliance officer review step to visitor registration, with officers and rejection message templates.
- Cancellation - Maintain the cancellation reason templates shown to visitors when a visit is cancelled.
