These are the three common ways to get data out of EvTrack. They answer different questions.
When you need this
Someone has asked for numbers, a list or evidence, and you want the right file the first time.
| Export | Where | What you get | Best for |
|---|---|---|---|
| Activity Report | Reports | Every visit in a date range and locations, as HTML (with photos) grouped by status, or CSV (data only) | Formal reports, compliance packs, incident review |
| Logbook Excel | Logbook | The entries and exits loaded on screen, as a spreadsheet | “What happened, in order?” |
| Visitors Dashboard Excel | Visitors Dashboard | Every visit that matches your filters, with a fixed set of columns (Status, Check-in, Check-out, Visitor, Group, Reason, Type, Host, Location) | Quick working lists |
The dashboard export does not follow the columns you chose with Fields: it always has the same columns.
Reports people run
| Need | How |
|---|---|
| Visitors per site per month | Activity Report, the month, CSV, then a pivot table |
| Who was on site during an incident | Activity Report, that date, HTML for the photos |
| Contractor time on site | Activity Report CSV, the Total Time on Site column |
| No-shows | Activity Report HTML: no-shows are grouped under their own status |
| Who is on site right now | Not a report: the Visitors Dashboard filtered to Checked-in |
| Proof someone accepted your terms | Not a report: the visitor’s Declarations tab |
The Activity Report filters by date range and location only; for a reason or a company, filter the CSV in your spreadsheet.
