The watchlist refuses a named person entry to your site. It is personal data about that person, so use it carefully.

When you need this

You are about to add, review or remove a watchlist entry.

What it stops

Where What happens
A host’s invite The Invite button is hidden and the profile shows a watchlist warning
A self-registration The request is blocked when it is processed: “Watchlist Match - Action Blocked”, and it can only be declined
A walk-in at the kiosk Refused on the spot (vehicles are checked too)
A walk-in registered at reception Refused, with a pointer to the Add Visitor page
A check-in of a visit that already exists Not checked again. Someone added to the watchlist after their visit was issued can still be checked in: cancel their visits when you add them

A person is matched on their passport or ID number, mobile number, vehicle plate or vehicle VIN; their name is used only when they have no ID number. Their email address is not used. Only lists that are Enabled are checked, and a new list starts disabled.

When a record is flagged, View Match Details on the warning shows which entry matched, on which details, and its reason - see Watchlist, Step 8. Check it is the same person before you act.

Write a specific, factual reason It is the only explanation anyone will see later, and the person may ask to see it
Quote an incident number where there is one It ties the entry to the investigation
Limit who may add and remove entries Give Watchlist Management: Watchlist Entry - Add, - Edit, - Delete and entry import to a few people
Review the lists regularly An entry from an old dispute is rarely still right
Keep health details, allegations and other people’s names out of the reason They do not belong in a free-text field about a person
Remove an entry when the reason has gone Removing is recorded, so the history remains auditable
