The words EvTrack uses, as they appear on screen. Where a term has its own page, the entry links to it.

A

Access Control List (ACL): A named set of doors and barriers. A credential or a visit pass opens what its access control lists allow - see Access Control Lists.

Access Control Point: A door, turnstile, barrier or camera. Each point says which visit status an entry (IN Direction Status Action) and an exit (OUT Direction Status Action) set - see Access Control Points.

Agreement: A document a visitor must accept, such as site rules or a privacy notice. It can ask for Yes or No, Agree or Disagree, or a signature. Answers are kept in Declaration Records - see Agreements.

ANPR: Automatic number plate recognition. A camera reads a vehicle’s plate; what that does to the visit depends on the camera’s access control point.

Auto Check-out: The automatic sweep that ends visits nobody closed: an expected visitor who never arrived becomes No Show, and one still on site after the visit ends becomes Auto Checked-out. Controlled by Enable Auto Check-out/No-Show? (on by default) - see Visit Statuses.

C

Card Pool: A set of physical access cards that reception hands to visitors and takes back - see Card Pools.

Check-in, Check-out: The noun: a visitor’s check-in is when their visit starts on site, their check-out when it ends. The verb is two words: the visitor checks in. The Visitors Dashboard buttons are Check-in and Check-out.

Compliance review: An optional review of a request before it is approved. While it runs, the request shows Under Compliance Review.

Credential: What lets a visitor through a door: a QR code, an access card, a face or a number plate. Credentials are switched off at check-out where On Check-out Deactivate Credentials? is on (the default).

D

Declaration Records: The answers visitors gave to agreements, with the date and any signature.

Delegate: A user who stands in for a location’s manager for a set period, approving requests in their place - see Managers.

E

Emirates ID reader: A desk card reader that fills in a visitor’s details from their Emirates ID card - see Emirates ID Reader.

Event: A record of something that happened: a check-in, a door opened, an email sent. Events appear in the Logbook and on a visitor’s Events tab.

G

Group Leader: The person who registers a group and whose row carries the group’s request - see Group Pre-Registration.

Group Member Processing Mode: Decides what group members get. List Only (the default) lists them under the leader, with no pass of their own; Full Visitor gives each member a profile and a pass.

H

Host: The person a visitor comes to see. A host invites visitors and is told when they arrive. Hosts is also the name of a starter role.

K

Kiosk: A tablet running the EvTrack FrontDesk app, where visitors check themselves in - see FrontDesk.

L

Late Check-out Period: Extra time after a visit’s end before the visitor counts as late, and before auto check-out applies.

Location: A site, building or area visitors come to. A location decides who approves its requests and which registration link a visitor uses - see Locations.

Location Manager: A user assigned on a location’s Managers tab who approves visitor requests for that location. It is an assignment, not a role.

Logbook: The searchable record of entries and exits at access control points, which can be exported to Excel.

M

MRZ: The machine-readable zone: the two or three lines of characters at the bottom of a passport’s photo page, which a scanner reads.

N

No Show: A visit whose visitor was expected but never checked in. Set by the auto check-out sweep after the planned end, or by hand with Set as No-Show.

P

PDF417: A two-dimensional barcode printed on some identity documents and driving licences, which a suitable scanner reads.

R

Re-Check-in: Lets a visitor who checked out, or whose visit was cancelled, come back in on the same pass before it ends.

Registration: A visitor request waiting to be processed: from a registration link, an import or the public form. It has its own statuses, separate from the visit’s - see Visit Statuses.

Registration Link: A link that lets a visitor fill in their own details. A link can be tied to a host or to a location.

Role: The set of permissions a user holds. Each user has one role - see Roles and Permissions.

T

Temporary Visitor Permit: A visit type for someone who comes back often over a period, up to 31 days by default. It needs Enable Temporary Visitor Permit and a permission.

Transaction ID: The reference number of a visit, shown on its Visit Pass Details. Quote it when you contact support.

V

Verification code: The 6-digit code sent to a visitor to prove their address. It expires after 25 minutes by default.

View: A saved arrangement of a table’s filters and columns. Views are saved in your browser only, so they do not follow you to another computer.

Visit Pass: A visitor’s permission to come on a given day, with its QR code. Opened from Visit Pass Details; changed with Edit Visit Pass.

Visit Type: How the visit came about: Walk-in, Invited, Pre Registered, Concierge or Temporary Visitor Permit.

Visitor Badge: The printed label a visitor wears, from a kiosk printer or Print Badge.

Visitor Profile: Everything held about one visitor, in tabs: Overview, Profile, Credentials, Visit Pass, Vehicles, Events, Declarations and Documents.

W

Watchlist: A list of people who need attention. A visitor who matches an entry cannot be invited, or given a quick check-in, until the match is dealt with - see Watchlist.
