Which identity details EvTrack keeps, and the ways a document’s details can be read instead of typed: a reader at a desk, or the scanner of a FrontDesk kiosk.
What EvTrack stores
| Field | What it holds |
|---|---|
| ID Nr | The visitor’s national identity number |
| Passport Nr | The passport number |
| ID Country of Issue | The country that issued the document, chosen from the list |
| Nationality | The visitor’s nationality, chosen from the list |
| Driver’s licence details | Number, expiry and restrictions, where a licence was scanned |
| Copy of ID | Images of the document, uploaded or captured by a scanner |
Which of these a visitor is asked for is set under Required Fields. Identity numbers are stored encrypted.
Readers at a desk
Reception can read a document instead of typing it, with one of these readers. Each is switched on under System Settings > Hardware, and all are off by default.
| Reader | What it does |
|---|---|
| Regula document scanner | Reads passports and identity cards, fills in the visitor’s details and keeps the images as Copy of ID |
| Plustek document scanner | Scans the document into the visitor’s record |
| Emirates ID reader | Reads an Emirates ID card and fills in the visitor’s details |
At the kiosk
A FrontDesk kiosk reads documents with its own scanner, through the kiosk app. Passports are read from their machine-readable zone (the lines of characters at the bottom of the photo page); identity cards, Emirates ID cards and barcoded documents such as South African identity cards and driving licences depend on the kiosk’s scanner and the kiosk app. Which documents your kiosk reads therefore depends on its model: ask EvTrack support for yours. See Kiosk Hardware.
The kiosk settings that matter are under Kiosk, among them Reject Expired Identity Document (off) and Enable EIDA ID Card Back OCR (off).
Practical advice when a document will not read:
- Lay a passport flat, open at the photo page, the way the kiosk shows.
- Move away from bright light or a window: glare hides the characters.
- Remove a cover, sticker or sleeve from the card.
- A worn, cracked or laminated-over document may not read at all: type the details instead, or send the visitor to reception.
Checks
- Country-Specific Validation, under Passport Validation Settings, limits which countries’ passports are accepted (off by default) - see Validation.
- Reject expired scanned documents refuses a scanned document past its expiry date.
What to ask a visitor for
- A passport works for everyone, from any country.
- A national identity card suits residents, where your readers or kiosk read that country’s card.
- Ask visitors to bring the same document they registered with. Where Enforce Same Document for Pre-Registration and Check-in is on, the kiosk app refuses a different document.
